Instabase is an enterprise AI platform that helps organizations automate document-heavy workflows. As the company shifted to a Product-Led Growth model, email became a critical layer in the user journey — but the existing templates had grown without a system, creating inconsistent touchpoints at moments that directly affected activation and conversion.

Instabase's email touchpoints — invites, verifications, password resets, usage alerts — had no shared visual system. Each template was designed in isolation, creating brand inconsistency at the moments that mattered most. For an enterprise product where trust is a buying signal, this was a gap worth closing. At the same time, the commercial trial program lacked a structured lifecycle sequence to move users from signup to conversion — emails were reactive rather than designed around the user journey.

I partnered with the design and customer success teams to redesign and systematize the full email suite. For transactional emails, I built a shared component structure with custom illustrations developed specifically for Instabase — ensuring every touchpoint felt intentional and on-brand. For the commercial trial sequence, I worked with product marketers to design a deliberate 3-part lifecycle flow — trial kickoff, mid-trial check-in, and trial-end conversion — with CTA placement and content hierarchy aligned to each email's specific goal. Both systems were built with developer handoff in mind, documented for implementation and designed to scale without requiring one-off design involvement.

These emails were part of Instabase's broader PLG motion, which drove a 600% surge in website traffic and 4x lead growth over three years. Formal email-specific metrics weren't tracked, but the design contribution is reflected in the following:

  • 8+ email types unified under a single visual system for the first time — from first invite to trial end, users encountered a coherent brand experience

  • Reduced design dependency — modular, documented templates gave marketing and CS teams the flexibility to adapt sends independently

  • Structured trial conversion pathway — replaced ad-hoc outreach with a 3-touch sequence designed to align with how users actually experience the trial period
